Minutes of the special meeting held at Glamorgan Record Office, Cardiff, on 24 September 2001

1Welcome
The chair welcomed everyone to this special meeting to discuss the Archives Network Wales plan.

2Archives Network Wales
The draft bid document was discussed in detail. On the more important issues it was agreed that:
2.1all the partners should make full responses saying how many of their fonds were to be included in the scheme on the basis of their significance and naming examples;
2.2more emphasis should be placed on the need for the project;
2.3the executive summary needed to be shorter to ensure that HLF gets the message in the first page and is encouraged to read on;
2.4the costings needed to be clarified;
2.5the memoranda of understanding needed to be written - a draft (A Mine of Information) was distributed at the meeting as the probable model to be used;
2.6every partner needed to be committing some amount to the sum of £125,000 required as partnership funding;
2.7ACW should aim to submit the bid at the beginning of December 2001.
The National Library of Wales was thanked for the efforts it had put into preparing the bid document.

3National Archives Policy, Mapping Project, and Society of Archivists' Leaflets
It was reported that representatives of ACW and Society of Archivists Wales were to meet the Assembly minister, Jenny Randerson, on 9 October 2001 to present the Policy document, the Mapping report, and the Society's leaflets. Gwyn Jenkins would also speak about the ANW bid and ask the Assembly for its support. In addition, it was planned to launch the Policy in Parliament in February 2002.

4Golden Jubilee
ACW had received an invitation to attend meetings to plan for the Queen's Golden Jubilee celebrations in June 2002. None was able to attend.

5HLF Public Meeting
ACW had been invited to attend a public meeting of HLF at Brangwyn Hall, Swansea, on 9 October 2001. Susan Beckley agreed to attend on behalf of ACW.

6UK Archives On-line
The ACW chair had been invited to attend a meeting of Archives On-line at the Public Record Office on 18 October 2001.

7Next meeting
It was agreed to hold the next meeting in Cardiff on 16 November 2001.
