| 3 | Minutes of the last meeting |
| The minutes of the last meeting held on 16 November 2001 were confirmed. |
| 4 | Matters arising from the minutes |
| 4.1 | National Archives Policy |
| Resource had granted ACW £1,000 for reprinting. | |
| The representatives to send to SE the names of recipients of the first printing. |
| 4.2 | Gathering the Jewels |
| It was reported that the project was proceeding apace and that it had received a good write-up in the Western Mail supplement the previous day. |
| 4.3 | Chapel and school records |
| GJ had replied to the correspondent and had heard no more from him. |
| 4.4 | Learning and Access Framework |
| It was noted that a pilot was to take place in England and that a meeting was to be held in June to see what progress could me made in Wales. |
| 4.5 | Archival Statistics |
| For various reasons neither SE nor SB had been able to attend the Resource workshop. A letter was read out from Caroline Williams, LUCAS, asking who is responsible for gathering statistics in Wales. | |
| It was decided that RW would become responsible for gathering statistics from each of the institutions belonging to ACW. RW would inform Caroline Williams that we have not gathered statistics in the past but that we were in the process of setting up a mechanism for doing so. A working group was set up to discuss which statistics should be collected: Rowland Williams, Ann Rhydderch, Elisabeth Bennett. |
| 5 | Chair's Report |
| 5.1 | Resource and Wales |
| A report was given of the meetings of the advisory group. The finalisation of the consultation paper was expected in the summer. |
| 5.2 | Development Officer |
| SE to press the Assembly to fund the post during the financial year 2002-2003. |
| 5.3 | Cymru'n Creu |
| It was noted that a number of meetings had been held and that the study was on-going. Concern was expressed that there had been no consultation with any archivists outside the national institutions. | |
| LT to ask the consultant to contact SE. Representatives to send their comments to SE before Cymru'n Creu meets again in May. |
| 5.4 | HLF Wales |
| It was noted that HLF had held a seminar in Cardiff to discuss the low take-up of bids by the archives and library sectors in Wales. It gave an opportunity to inform HLF that its priorities did not meet archival needs as highlighted in the Mapping Project report. |
| 5.5 | CWLIS |
| Mention was made of the Wales on the Web and the Getting in on the act projects; of the launch of the People's Network in Aberdare in January; of empowering the learning community; of LISC Wales's plans; and of a display in the Assembly foyer in May. | |
| ME to arrange for the policy document to be given a prominent place in the display. |
| 5.6 | ELWA |
| It was noted that SE would attend the ELWA meeting in Cardiff on 19 April. |
| 6 | Secretary's Report |
| 6.1 | Quinquennial Review of RCAHMW |
| It was reported that ACW had received a questionnaire from the team carrying out the review. | |
| It was agreed that SE should respond to the questionnaire on behalf of ACW. |
| 6.2 | NCA |
| 6.2.1 | It was reported that the proposed archival legislation was being discussed within government. Wider consultation was expected in the summer. |
| 6.2.2 | The news that Alison Berwick's contract had been renewed until April 2003 was welcomed. |
| 6.2.3 | It was mentioned that a NCA working group was arranging a profile-raising event in Parliament in April. |
| ME to ensure that the policy document had a place there. | |
| 6.2.4 | It was noted that the NCA was leading an 'Archives Month' venture to be held probably in June 2003. A copy of the draft business plan was circulated. |
| It was decided to consider what could be arranged in Wales as part of the venture. |
| 7 | Archives Network Wales |
| 7.1 | HLF bid |
| It was reported that the bid had been submitted to HLF a few days before Christmas and that a case officer had been appointed recently. GJ had written to ask whether the six months for response would be counted from the date of submission (December) or from the date of appointment of the case officer (March), an important factor in aiming to start the project in October 2002. |
| 7.2 | Families and Estates Project |
| A brief progress report was circulated. It was noted that all collections outside NLW would be completed within the project's time-limit; and that NLW would extend the contract of one of the staff to complete the remainder. An appeal was made to the other institutions to do their corrections as soon as possible. |
| 8 | Constitution |
| It was reported that SD had had no opportunity to prepare a constitution on the basis of the Swansea document. |
| 9 | Sports Archives |
| The planned establishment of a Sports Museum for Wales, which was being investigated by a working group of Cymru'n Creu, was discussed. Concern was expressed about the housing of any archives which might be flushed out as a result of the development. The questionnaire should have included a question about archives and ACW should be responsible for tackling that issue. It was noted that the national institutions were represented on the working group. GJ, NLW's representative, would be unable to attend the next meeting, but Michael Francis would be going in his place. |
| 10 | Gregynog 2002 |
| It was decided to hold a meeting on 28 September or 5 October and several possible subjects and speakers were mentioned. |
| 11 | Membership |
| It was noted that Terry Moseley was present because ACW had invited the Records Management Section of the Assembly to send a representative to this meeting as an observer. | |
| It was decided to regularise the arrangement and to extend to the Records Management Section of the National Assembly for Wales representation on the Council with observer status like HMC and PRO. |
| 12 | NRA |
| It was reported that HMC is concerned about the diminishing number of lists the NRA is receiving and wants to find out why. It was discussed whether ACW should conduct a survey in Wales. | |
| It was decided that HMC should ask each repository directly. ACW would welcome receiving a copy of the report on the position in Wales. |
| 13 | Objectives 2001-2002 |
| The following objectives were set for the year 2001-2002: | |
| 13.1 | To progress the Council's plans for the development of Archives Network Wales subject to receiving the support of HLF |
| 13.2 | To arrange a meeting of Welsh archivists at Gregynog in conjunction with the Society of Archivists |
| 13.3 | To participate fully in the Gathering the Jewels Project |
| 13.4 | To formulate a constitution and to review the general aims |
| 13.5 | To contribute to the on-going debate with the National Assembly and to represent the interests of the domain in Wales including Cymru'n Creu, and the Cultural Strategy |
| 13.6 | To arrange the collection of statistics about archives in Wales |
| 13.7 | To plan for participation in the National Archives Month |
| 14 | Next meeting |
| It was agreed that the next meeting should be held at County Hall, Llandrindod, at 11 am on Friday, 12 July 2002. |
