Minutes of the meeting held at the National Library of Wales on 17 July 1998

| The minutes of the previous two meetings held on 13 March 1998 and 13 May 1998 were confirmed. |
| 2 | Matters arising from the minutes |
| 2.1 | Local Government Reorganisation |
| The circumstances of the Carmarthenshire Archive Service were discussed, the latest position of the services in Anglesey and Gwynedd was noted, and it was decided to press for the reconvening of the Advisory Panel. |
| 2.2 | Robert Chell's Survey |
| It was noted that RC was leaving DILS. ME suggested that HMC would contact DILS to ask about the data collected by the survey. |
| 2.3 | Annual Conference of the Society of Archivists 2001 |
| It was noted that Bruce Jackson had visited Aberystwyth and that he was quite happy with the facilities. |
| 2.4 | Follett Posts (Universities) and Student Bursaries |
| A discouraging reply had been received from HEFCW with regard to the Follett posts; and there was no good news to report about the bursaries either. |
| 2.5 | Survey of Visitors to UK Archives in June 1998 |
| It was noted that the Welsh version of the questionnaire had arrived on time and that several record offices had participated in the survey. |
| 3 | Welsh Archives Network |
| It was reported that LT would welcome comments on the terms of reference, and that she was confident the business case could be prepared between September and mid-December, a timetable which would allow the inclusion of the mapping project results. WDA, PRO, DILS, and NLW would be contributing towards the expenses. Some minor amendments to the terms of reference were suggested and mention was made of NCA plans to foster network development on the basis of the Archives On-line report. |
| 4 | Mapping Project |
| It was agreed to distribute copies of the England questionnaire and to gather any comments in advance of the next meeting. ACW itself would monitor the project and PRO had offered to analyse the results. |
| 5 | Record Office for Wales |
| Disappointment was expressed that the Welsh Office, in planning for the Assembly, was not giving any impetus to the idea of establishing a record office. |
| 6 | Consortium of Welsh Library and Information Services (CWLIS) |
| Seeing that CWLIS was carrying out a survey of training needs, it was decided to ask the organiser whether archivists were being included in it. CWLIS was also preparing an ITC strategy and some concern was expressed that nobody seemed to be coordinating the plethora of different schemes which were appearing in this field. |
| 7 | Gregynog Meeting 1998 |
| The arrangements for the meeting at NLW on 17 October 1998 were noted. CAIRS Ltd were prepared to sponsor the day and to show their CAIRS-ARC system. Michael Cook (LUCAS) would explain ISAD(G); Dick Sargent (HMC) would speak about the NCA Rules; and a NLW team would demonstrate the CAIRS-NLW system. |
| 8 | HMC: Archives and the Millennium |
| It was agreed to prepare a response covering three areas: local government (KM); Record Office for Wales (GJ); and Wales Archives Network (JWW). ME offered to arrange a consultative meeting in Wales, if there is a demand. |
| 9 | Annual Report, Subscriptions, Membership, and Objectives |
| GJ would distribute a draft of the annual report within a few weeks. It was agreed: (1) to increase subscriptions from £20 to £30; (2) that the membership changes of the first three years satisfied the terms of the guidelines which were agreed in 1995; and (3) to set the 1998-9 objectives on an adaptation of the previous year's, with the addition of the mapping project. |
| 10 | University Constituency |
| Acknowledging that ADC had written a very comprehensive report on ACW proceedings for his constituents, it was decided that in future a copy of the minutes, labelled `to be confirmed', could be sent to each of them. |
